Every RFQ you've answered is a lesson AI hasn't learned yet.
Distributors, job shops and packaging makers run on a chain of RFQs, quotes, purchase orders, production and quality records, and invoices. That chain, with the judgment calls in between, is valuable training material, and it rarely contains consumer data.
Why buyers want industrial records
Industrial companies were underserved by software for decades, and they are now among the leaders in using AI for document-heavy work (CIO). The models doing that work need examples of how an estimator prices a part, how a planner fits in a rush order, and how quality traces a defect back to a lot.
Your ERP and inbox hold years of exactly that, linked by part, PO and lot numbers.
Records buyers ask for
| Record | Where it usually lives | Why buyers value it |
|---|---|---|
| RFQs and quotes | Email, CRM, quoting tools | Pricing judgment: margins, lead times, what wins and what loses |
| Purchase and sales orders | ERP, such as Epicor, NetSuite, Infor or Sage | Ties each quote to an outcome |
| Production and scheduling records | ERP, MES, spreadsheets | How capacity and rush work get balanced |
| Quality records: NCRs, CAPAs, inspections | Quality system, shared drives | Root-cause reasoning with clear outcomes |
| Supplier email and purchase orders | Email, ERP | Sourcing and expediting decisions |
| Invoices, credits and payments | QuickBooks, Xero, NetSuite | Closes the loop, including disputes and credits |
One workflow, start to finish
Buyers pay most for complete chains like this one, where every step links to the next through a shared ID.
- EmailRFQ arrives
A customer asks for pricing on 5,000 printed corrugated cases.
- SpreadsheetEstimate built
Board grade, print setup and freight priced; margin set.
- EmailQuote revised
The customer pushes back on price; the estimator offers a different board grade.
- ERPOrder received
Purchase order matched to the revised quote.
- QualityInspection fails
One lot fails crush testing; a nonconformance report is opened and the cause traced.
- ERPShip and invoice
Good lots ship; the order is invoiced.
- AccountingCredit memo
A partial credit is issued for the short shipment.

What we handle differently in manufacturing
- Customer-owned drawings and specs. They stay out unless the customer agrees, because they are the customer's intellectual property.
- Export-controlled technical data. ITAR- and EAR-controlled data never leaves. We screen for it and exclude anything flagged.
- Customer and supplier names. Replaced with consistent stand-ins.
- Pricing. Kept, or scaled or banded on request.
- Trade secrets. Formulations and proprietary processes you name during the review are excluded.
What stays out
- Export-controlled technical data
- Customer-owned drawings without consent
- Payroll, HR and safety incident records
- Trade secrets you identify
